How do I submit a new Educational Activity?

At first, you have to read the accreditation book which provides the details pertaining to the process and criteria for accreditation of your educational activity. In order to submit an educational activity, you have to create a user account on the EAN portal. Once you have created an account, you have to register the organisation on behalf of which you want to submit an educational activity. Once you have undertaken those two steps, please click on "submit an educational activity" at the top left corner. The submission is a three-step process:
   - enter basic elements regarding your activity (title, date, venue, ...)
   - explain how your activity meet each of the 5 clusters of criteria
   - finalise the application (invoice)

What is expected by EAN from organisors of educational activities?

Organisors of educational activities have to demonstrate that their activity complies with the EAN clusters of criteria. As a result, for each cluster, organisors are expected to explain, describe, detail how their activity meets the criteria and put in plain words the concrete actions taken to support their explanation. For instance, for the criteria transparency, the organisors have to explain how their activity is funded, how speakers have disclosed their affiliations, how the activity is funded, ...
The EAN expert evaluators will base their evaluation on the information provided by the organisors and information available to the participants (activity's website,...).

What are the documents needed to request an accreditation?

Organisors of educational activities have to provide EAN with a detailed programme of the activity as well as a list of affiliations of organisors and speakers. The EAN has provided for a template of list of affiliations. In case of doubts pertaining to a speaker or a member of the organizing team, EAN experts may request his/her CV. Organisors should therefore be in a position to provide the CVs rapidly.

Why my Organisation has not a valid status?

The system can automatically check your european VAT number during the registration of your organisation. But in some case this check must have done manually by the administrators of EAN. You might be contacted by them and provide additional information to make sure that your organisation really exists.

How long will the accreditation process of my Educational activity take?

Once your application is complete and the payment is received, the EAN will check the information provided. This process can last up to 1 week. Once all is complete, then the application is being processed to the EAN expert evaluators who have 2 weeks to undertake their evaluation. At the end of the evaluation process, the EAN will finalise the accreditation and issue a certificate of accreditation or rejection including an evaluation report. The whole accreditation process lasts 1 month.

How to become an evaluator of the EAN?

The EAN has partnered with professional organizations which provide practicing professionals and experts to evaluate the activities. The expert have to comply with EAN rules and code of conduct and be totally independent from the organisors of educational activities.

What is the cost of accreditation?

As outlined in the accreditation book, the cost of requesting an application depends on the number of participants and the time of application. EAN recommends requesting for accreditation 3 month in advance. In case of request within less than 3 months, a higher fee is requested.
